Public Relations Chairman Guide

To better serve your role as Chapter Public Relations Chairman, this document is to serve as a guide for you along the way. Look to this for any questions you may have, if there is not an answer to your question simply refer to your chapters Chapter Services Consultant for an answer.

Job Description:

The Chapter Public Relations Chairman serves as the chairman or the head of the public relations committee and directs a public relations program to assist the chapter in deserving and achieving a favorable reputation in all phases of operation and activity. The Chairman will take the lead in establishing, maintaining, and promoting chapter standards. They are also responsible for making all members aware that their individual and collective actions contribute to the reputation of Phi Kappa Tau. It is imperative that the Chairman seeks ways to improve and maintain good relations and communication within the Fraternity on the chapter, regional, and international levels. Lastly, the chairman will assist in the publication of the alumni newsletter.

  • Keep track of all Media Platforms and monitor to make sure appropriate/ brand compliant content is being produced.

Tips  For  Success

Learn About your Role. Take the time to review this manual. This will allow you to have a clear understanding of the role and what you will be working on during the year. 

•Plan Ahead. Failing to stay organized and not planning ahead is the biggest cause for challenges. Take the time to review the “Semester To-Do List” items in your manual and map out what you need to do to accomplish your goals for the semester.  This will allow you to be successful in your role while creating different levels of change within your chapter. 

Ask for help. Reach out to your BOG, Chapter Services Consultant, and past officers if you are struggling. Being a chapter officer is hard work and you are not expected to do it alone. Utilize this manual as a resource but if you need additional support, do not be afraid to reach out for help. 

•Form a Committee. Your role requires a lot of time, a committee can be a useful tool to help you manage your workload and complete tasks. 

Public Relations Committee Members – the public relations committee should consist of (but not be limited to) the following members: 

  1. Public Relations Chairman 

  1. Chapter Historian 

  1. One representative each from the following committees (If applicable): 

  • Alumni Relations 

  • Philanthropy 

  • Recruitment 

  • Social 

  • Prevention & Wellness

Model the Way. Holding a position in your chapter means you are a role model for your chapter brothers. You are expected to model the way for your brothers and they will mirror the behavior you model. At times, you have to make difficult decisions that might not be popular. Serving in this role means your brothers have trusted you to make those decisions for the chapter. Don’t be afraid to make the hard decisions and to challenge your brothers to be better. 

Set Expectations. As a leader, make sure your chapter has very clear expectations for membership. This will allow your chapter to thrive and allow you to be able to better support your brothers who are not meeting these expectations. 

Semester To-Do List 

Prior to the Semester Starting

  • Meet with Outgoing Officer.

  • Make sure to change ownership on Chapter Social Media accounts. 

January

  • Create a content calendar to get the chapter organized in terms of social media use for spring semester 

  • Set tone for what the social media brand  will be

  • Meet with Committee members  

  • Prepare a recruitment advertising campaign 

February

  • Maintain Social Media presence  

  • Meet with Committee members  

  • Execute recruitment advertising campaign 

March

  • Maintain Social Media presence  

  • Meet with Committee members  

  • Use Social Media to get community members to know the chapter

April

  • Maintain Social Media presence  

  • Meet with Committee members  

  • Assist with alumni newsletter 

May

  • Maintain Social Media presence  

  • Post about graduating members 

  • Semester recap

Summer

  • Maintain Social Media presence  

  • Give updates on what chapter members are doing and where they have been (summer is obviously big travel time)

  • Show what chapter members do outside of Phi Tau

  • Prepare a recruitment advertising campaign 

August

  • Post a ‘welcome back’ message  

  • Maintain Social Media presence  

  • Meet with Committee members  

  • Create a content calendar for the semester

September

  • Maintain Social Media presence  

  • Meet with Committee members  

  • Execute recruitment advertising campaign 

October

  • Maintain Social Media presence  

  • Meet with Committee members  

November

  • Maintain Social Media presence  

  • Meet with Committee members  

  • Assist with alumni newsletter 

December

  • Produce a Holiday card 

  • Maintain Social Media presence  

  • Semester recap

  • Meet with Committee members  

  • Transition new officer by sharing passwords and login information 

The Breakdown

The Borradaile Challenge is the fundamental way that chapters have their performance evaluated over the course of a calendar year. Encapsulating 10 categories, chapters can fall into one of three standings for each: Meets Expectations, Exceeds Expectations, or Outstanding.
